1. Overview

Fillit ("the Service", "we", "us") operates an AI-powered app for scanning, filling, and signing documents. This Privacy Policy explains how we collect, use, and store personal information when you use the Service. By using the Service, you agree to this policy.

2. Information We Collect

a. Information you provide

  • Full name and email address — collected when you create an account.
  • Documents you upload — images, PDFs, and Word files uploaded for processing.
  • Personal data entered in form fields (e.g. name, ID number, address, bank account) — saved for future auto-fill with your consent.
  • Digital signature — stored in your account for reuse.

b. Automatically collected information

  • Usage data — pages viewed, actions performed, login times.
  • Device information — device type, operating system, browser version.
  • IP address — for security and abuse prevention.

3. How We Use Your Information

  • Processing your uploaded documents and detecting form fields using AI.
  • Auto-filling fields based on information you've provided previously (see Section 3A below).
  • Sending documents to recipients you specify.
  • Backing up documents to your Google Drive (if you enable this feature).
  • Improving the Service, analyzing usage patterns, and preventing fraud.
  • Sending important updates related to your account.

3A. Profile Cache — Smart Auto-Fill

To streamline your form-filling experience and reduce repetitive data entry, Fillit maintains a personal Profile Cache ("Known Data") linked to your account. This cache stores commonly reused personal details you have entered in previous documents, such as:

  • Full name, ID number, date of birth
  • Phone number, email address
  • Street address and city
  • Bank account details, employer name

How it works

When you fill out a form field, Fillit automatically saves the value to your Profile Cache. The next time you encounter a similar field (in any document), the Service will suggest the saved value via a dropdown — allowing you to auto-fill it with a single tap instead of retyping it.

Why it is necessary

The Profile Cache is a core feature of Fillit's document-filling service. Without it, users would need to manually re-enter the same personal details (name, ID, address, etc.) across every document — significantly degrading the user experience and eliminating the efficiency that makes Fillit valuable. The cache is essential for the proper operation of the Service.

Data protection and control

  • Your Profile Cache data is stored securely and encrypted, linked exclusively to your account.
  • It is never shared with other users, third parties, or used for marketing purposes.
  • You can view, edit, or delete your cached data at any time from your Account Settings page.
  • Deleting your account permanently erases all cached data.
  • The cache is used only to suggest values within the Fillit form-filling interface — it is never transmitted externally.

4. Sharing Information with Third Parties

We do not sell or rent your personal information to third parties. Information may be shared only in the following cases:

  • Service providers: Microsoft Azure (document recognition), Anthropic Claude (AI processing) — subject to strict data processing agreements.
  • Google Drive: If you choose to connect your Google Drive account, documents will be uploaded directly to your account.
  • Recipients: Contact details you enter (name, email, phone) are shared solely for document delivery.
  • Legal requirements: When required by law, court order, or competent authority.

5. Data Storage and Security

  • Data is stored on secure cloud servers with end-to-end encryption.
  • Access to your data is limited to employees and systems required to provide the Service.
  • Your documents belong to you — we do not process them for any purpose beyond what is required to deliver the Service.
  • Free account users: documents are stored as long as the account remains active.

6. Your Rights

In accordance with applicable privacy laws (including GDPR where applicable), you have the right to:

  • Access the information stored about you.
  • Correct inaccurate information.
  • Delete your account and all associated data.
  • Export your documents.
  • Withdraw consent for auto-fill data storage at any time from account settings.

7. Cookies

The Service uses cookies and Local Storage for session management, saving user preferences, and basic analytics. You are not required to accept marketing cookies — these can be managed in your browser settings. See our Cookie Policy for details.

7A. Website Visitors & Public Website Analytics

When you visit our public website (for example our home, pricing, blog, and contact pages), we may collect limited analytics such as pages viewed, approximate region, device/browser type, and referral source. On public pages, and subject to your consent where required, we use cookies and similar technologies for these purposes. See our Cookie Policy for details.

7B. Marketing, Advertising & Remarketing

On our public marketing pages only, and subject to consent where required, we and advertising partners may use pixels, tags, SDKs, and similar technologies (such as Meta, TikTok, Google Ads/Analytics, and LinkedIn) to measure campaigns and show you relevant Fillit ads on other platforms (remarketing).

  • These technologies never run inside logged-in app, dashboard, document, signing, billing, or admin areas.
  • For Google tags we implement Consent Mode, so ad and analytics storage stay denied until you consent in applicable regions.
  • Third-party advertising platforms process data under their own privacy policies.

7C. Region-Based Consent & Consent Records

We apply region-based consent. In strict regions (EU/EEA, UK, Switzerland) analytics and marketing are denied by default until you explicitly opt in; in commercial regions we provide notice and honor opt-out; unknown regions are treated as strict. When you make a cookie choice, we may store a consent record (with an anonymous visitor identifier, region, choices, and policy versions) for legal record-keeping. We do not store raw IP addresses in these records — only salted/hashed values where applicable.

7D. Registered Users & Marketing Preferences

Service/transactional emails (security, account, billing, document delivery, legal and operational notices) are always sent and are not affected by marketing preferences. Where permitted by law, we may also send occasional product updates, tips, offers, and promotional messages. You can unsubscribe from promotional emails at any time — via the link in any promotional email or from your account — and your choice is stored in our systems as the source of truth. Unsubscribing never disables essential service emails.

7E. Prospects & Non-Registered Leads

If you submit your email through a lead or waitlist form, we store it as a prospect record together with your consent choices. We never capture anonymous visitors' emails passively. Prospects can unsubscribe at any time.

7F. Email Service Provider

We use Resend to deliver emails. Delivery metadata (such as bounces and complaints) may be used to suppress future promotional sends. Our internal database remains the authoritative record of your marketing preferences.

7G. What We Never Use for Advertising

We do not use uploaded documents, document content, form field values, signatures, Profile Cache data, dashboard activity, or private user files for advertising or remarketing purposes. We do not sell your private document data.

7H. International Visitors & Your Rights

Fillit is used internationally and your information may be processed in countries other than your own, with appropriate safeguards. Depending on your jurisdiction, you may have rights to access, correct, delete, or export your data, and to withdraw consent at any time (including for analytics and marketing) without affecting essential services. 8. Changes to This Policy

We may update this policy from time to time. Material changes will be announced prominently within the Service and/or by email. Continued use of the Service after publication constitutes acceptance of the updated terms.
